Buyer Questions
Answers describe common inquiry routes. Final feasibility, MOQ, timing, documents, and commercial terms require a reviewed project brief.
Request a visit discussion before making travel arrangements. Send the proposed date, visitor roles, target market, product format and the project or verification topics you want to discuss. A request is not a confirmed appointment or a guarantee of access to particular facilities, records or personnel. Ask the team to confirm the receiving company, exact meeting address, host and agreed visit scope in writing. Confirm any confidentiality, photography or document-access requirements beforehand. Do not rely on an unverified address, airport distance or assumed same-day visit availability when planning travel. Prepare a non-confidential project brief and a list of the evidence you want to review. Relevant questions may concern your proposed development route, sample approvals, packaging choices and project-specific quality records; the available evidence and access need to be confirmed for the visit. Use the confirmed arrangements to plan the meeting. If a visit cannot be arranged, ask which project documents or other review arrangements are available instead. No particular production line, laboratory capability, audit access or staff attendance is promised by this FAQ.
Confirm the commercial and product scope first: target country or region, sales channel, core consumer, and use occasion. Specify product type such as EDT, EDP, Extrait, Body Mist, or Attar, along with target capacity, fragrance concentration, expected longevity, sillage, and customization level. Lock the scent and packaging direction before payment. Define the fragrance family, liked notes, disliked notes, and benchmark products. Clarify whether packaging will use a stock bottle, semi-custom route, or new mold, and provide references for bottle, pump, cap, box, color, material, and any gift-set or transport display requirements. Confirm commercial and project parameters: first order quantity, budget, target delivery date, reorder expectation, must-have selling points versus negotiable configurations, and target market requirements for labels, documents, shipping, and responsible party. Also confirm decision-maker availability and feedback timeline. Verify the payment amount and whether it covers sample development, international shipping, or both. Because product development fees generally cover formulation work and sample preparation, locking these points reduces rework and avoids paying twice. If destination-specific requirements may affect labeling, testing, or documentation, submit an inquiry with your target market and project details for confirmation before payment.
Yes, packaging sampling is a required gate before production. Bottle, pump, cap, label, and carton should be sampled as a complete unit, preferably filled with the actual fragrance or a matched-density bulk, because glass neck finish, pump crimp height, and collar fit can shift between suppliers. In a typical OEM project, we first confirm the bottle drawing and pump specification, then produce a small packaging sample assembly. We check spray pattern and output, cap torque, label position and edge lift, carton fit, and simulated transit leakage. For fragrances, also verify that the formula does not react with the inner lacquer or pump materials. Only after the client signs this packaging sample together with the scent approval should bulk production proceed. If the bottle or pump is changed later, repeat sampling is strongly recommended. Destination-specific packaging features such as child-resistant closures, language labeling, or recycling marks may need additional confirmation. Please share your target market and packaging concept in an inquiry so we can include the right samples and documents.
Yes, you can request a quotation even if your product specifications are not complete. Laeyo Fragrance regularly works with private label and OEM/ODM buyers who are still defining their perfume, body mist, or gift set concept. Send us whatever you know: target market and channel, product format and size, approximate first order quantity, packaging direction (stock bottle, custom, or undecided), scent family or references, target retail price, and launch date. We will respond with a preliminary or budgetary quotation and a short list of assumptions. To move from a budgetary quote to a final quotation, we will need the six groups of information we use for fragrance OEM projects: market and commercial details, consumer profile, product form and capacity, fragrance direction, packaging choices, and regulatory/project requirements. If any group is missing, we will mark it as TBD and still provide an indicative range. Partial specifications may affect unit cost, MOQ, lead time, sampling time, and applicable compliance documents, so the final quotation may differ from the initial estimate. For destination-specific requirements such as labeling, testing, or documentation, please submit an inquiry with your target market and project details, and our team will confirm what is needed.
Incoterms® 2020 rules allocate delivery, risk and specified transport, customs and cost responsibilities between seller and buyer. Agree the rule, named place or port and edition in the contract. EXW (Ex Works): the seller makes the goods available at the agreed named place, which may be a factory, without loading the collecting vehicle. The buyer handles collection, carriage and applicable export/import formalities. FOB (Free On Board): the seller export-clears and delivers the goods aboard the vessel at the named shipment port, where risk transfers. The buyer arranges main carriage; FOB does not itself require the buyer to purchase insurance. CIF (Cost, Insurance and Freight): the seller pays freight and the required minimum insurance to the named destination port, but risk transfers when the goods are placed aboard at the shipment port. DDP (Delivered Duty Paid): the seller delivers import-cleared goods on the arriving means of transport at the named destination, ready for unloading, and bears the applicable import duties and taxes. Confirm that the seller can legally fulfil those clearance and tax obligations. FOB and CIF are for sea or inland-waterway transport; EXW and DDP can be used for any mode. For container or multimodal shipments, review FCA, CPT or CIP as appropriate rather than automatically choosing FOB or CIF. For perfume orders, alcohol-based flammable liquids and destination-specific labeling, registration, or carrier restrictions affect how these terms are applied, so the practical quote must be confirmed for the exact product, pack size, and destination. Available delivery terms must be confirmed in the project quotation after review of the exact route and responsibilities. Duties, taxes and clearance responsibilities are not agreed before the destination and legal arrangements are checked. Please submit an inquiry with your target market, Incoterm preference, and shipping address so we can confirm the correct responsibilities and quote structure. For comparison, use the official ICC Incoterms® 2020 overview chart (PDF) and ICC selection checklist (PDF). These resources support selection and do not replace the full rules or confirm which terms LAEYO can offer for a destination.
First standardize the product variables. Fragrance unit price rises mainly with fragrance oil concentration (e.g., EDP vs EDT) and fill volume (e.g., 50 ml vs 100 ml). Different bottles, caps, pumps, cartons, cellophane, and label finishes change cost significantly. Ask each manufacturer to confirm the exact concentration percentage, alcohol base, bottle specification, and decoration level used in the quotation. Compare commercial terms side by side. Include MOQ, payment terms, Incoterm, sample fee and shipping policy, lead time, packaging responsibility, and whether the quote includes pre-shipment inspection, stability testing, regulatory documents, or artwork support. A low unit price that excludes freight, testing, or packaging can be misleading. Verify that scent matching and formulation scope are equal. If one quote is based on an existing stock formula and another includes custom fragrance development, reformulation, or a higher oil load, they are not directly comparable. Request a breakdown of oil cost, alcohol, bottle, pump, cap, carton, filling, and QC per unit if possible. For destination-specific compliance or import costs, request a project-specific comparison after you share target market and product details. This allows us to help you compare quotations on equivalent regulatory and logistics assumptions.
